Administrative Assistant - Sacred Heart School

Sacred Heart School is searching for a full time Administrative Assistant.

The Administrative Assistant will be responsible for performing administrative activities that support
the Principal and Assistant Principal with the primary objective of assisting the school, students, parents
and school community to be effective. Oversees and manages the front office and performs all general
administrative functions. 
Essential Duties and Responsibilities, include:

  • Organize, maintain and update all applicable office files.
  • Student Injuries – Tend to injured students and file injury reports
  • Immunization Files – Record and keep records up to date, file immunization reports to the Health Department. 
  • Hearing and Vision Screenings – Set up testing and rechecks, process results. 
  • Oversee and prepare the school master calendar, sort mail, answer phones, order supplies and
  • request repairs of office equipment. 
  • Prepare purchase orders; maintain inventory of textbooks, and miscellaneous supplies as necessary. 
  • Prepare and collect all student grades, report cards, attendance, academic reports and student
  • schedules.
  • Assist with preparations for various school events throughout the year.
  • Schedules annual fire inspection and health inspections. 
  • Be a resource person to staff.

Qualifications, include:

  • Emphasis on strong organizational and prioritization skills; attention to detail, confidentiality,
  • ability to work in a fast-paced environment, handle simultaneous projects, and work efficiently.
  • Strong communication skills; written and verbal. 
  • Ability to work independently, make responsible judgment calls, while, at the same time, have
  • the ability to work in a team environment and maintain a pleasant disposition. 
  • Strong computer skills and ability to learn all programs. Proficiency in MS Office Suite, including
  • Word, Excel, Outlook and Internet.
  • Excellent interpersonal skills, professional telephone manner; positive and flexible. 
  • Ability to work effectively with Diocesan employees, department heads, representatives of other agencies and the general public.
  • Adhere to the Diocese of Palm Beach Code of Conduct with emphasis on confidentiality and
  • able to exercise discretion and good business judgment
  • Bilingual – preferred

Physical Requirements:

  • Occasional light lifting and carrying of under 15 pounds
  • Occasional moderate carrying and lifting of 15 – 44 pounds
  • Occasional lifting and carrying up to 50 pounds
  • Frequent bending, climbing, stretching and kneeling
  • Frequent use of both hands and fingers
  • Occasional moments of minimal and routine hearing
