Parish Receptionist/Secretary (30 hours per week with benefits) - Sacred Heart Catholic Church (Lake Worth, FL)

Sacred Heart Catholic Church located in Lake Worth, FL is searching for a part time (30 hours per week with benefits) Parish Receptionist/Secretary.

PURPOSE:

The parish receptionist/secretary provides skilled secretarial and related office services to the pastor, office/operation manager and parish staff. This person assists the pastor and office/operation manager in planning and coordinating various parish activities.  The parish receptionist/secretary is expected to use sound judgment in carrying out routine duties and responsibilities of the parish office.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Maintain the physical appearance of the office, conference room, gift shop and other areas so as to present an organized atmosphere.
  • Assist the pastor, office/operation manager and other staff members in carrying out other duties as required for providing quality ministry to the parishioners.
  • Must speak Spanish and English fluently, and provide welcoming, positive interactions with all visitors, with a smile and warm reception.
  • Must have excellent handwriting and grammar, to ensure all documents, Mass Book and Sacrament Book entries are neat and legible for staff members use.       
  • Answer the telephone, take messages, and/or refer caller to the appropriate person.
  • Read and answer emails as needed and forward to appropriate staff member.
  • Handle calls for homebound and nursing home requests for communion, confession, anointing of the sick, referring to the pastor, priest or deacon.
  • Oversee Gift Shop sales, assist buyers, and keep sales record, recording sales total and collected money.
  • Enter parishioner offertory donations in online system (PDS), and maintain records and dispose appropriately.
  • Complete office paperwork for Baptisms, Weddings, Funerals, Madonna Hall usage, and all donations using parish forms and maintaining record of payments.
  • Assist in Maintaining inventory of Office and Break room supplies, and request orders when needed. , maintain the supply order form, and recording delivery information.
  • Assist with Collection Counters, setting up room when needed.
  • Prepare Offertory collection bags for each week and special celebrations and put in church each week.
  • Maintain Mass Intentions, Mass stipends and documentation of donations received.
  • Be knowledgeable or willing to learn about services provided in the Diocese and community to assist people, including St. Vincent de Paul, Catholic Charities and other agencies in the Diocese and community.
  • Assist the office/operation manager and Bookkeeper with financial transactions, recordings and deposits as needed.
  • Record minutes of all staff meetings and distribute to all staff members.
  • Type all correspondence as requested by the pastor and office/operation manager.
  • Maintain and prepare all parish and sacramental records, notify other parishes of sacramental records and prepare duplicate certificates as requested.
  • Pick up mail and deliver it appropriately. Assist with parish mailings as requested.
  • Maintain online database of parishioners (PDS), entering new parishioner registration information, updating addresses, and assigning envelope numbers to new parishioners.
  • Assist with office work maintaining the copy machine and copying materials for pastoral endeavors as requested by the pastor and office/operation manager.
  • Provide support and assistance to the director of faith formation, youth group, parish councils and organizations as needed.
  • Assist with planning and arrangements related to liturgical celebrations as requested.
  • Participate in the life of the parish, with a regular role in church ministry.

QUALIFICATIONS AND SKILLS:

Job related skills:  Understanding of communications and the Catholic perspective.  Ability to serve others with kindness, patience and positivity.  Ability to use standard office equipment.  Excellent computer skills, including knowledge of MS Office with particular emphasis on Word, Excel, Publisher, PowerPoint, Outlook, as well as Google Gmail.  Familiarity with Parish Data Systems Preferred.

Interpersonal Skills:  Ability to work with others in a collaborative team.  Ability to maintain discretion and confidentiality, ability to self-start, multi-task and prioritize projects, as well as ability to work independently without supervision.

Language Skills:  Must be bi-lingual, speaking English and Spanish fluently. Ability to read and comprehend simple instructions, write correspondence, and memos using proper grammar.  Demonstrated ability to communicate effectively with a community of diverse parishioners is essential.

Reasoning Ability:  Ability to carry out detailed written and/or oral instructions.  Ability to problem solve in standardized situations.

PHYSICAL REQUIREMENTS:

This job normally requires the physical demands of standing and or sitting for periods of time.  Additionally, walking, bending, lifting or performing other work requiring low physical exertion is also expected. Speaking, hearing and adequate vision as well as typing on a regular basis are also necessary to successful job performance.
