Full Time Parish / School Finance Assistant - St. Jude Catholic Church & School
The Parish/School Finance Assistant provides support to the Director of Finance for a variety of Parish and School accounting functions, including tuition and fee billing, recording of school transactions in FACTS management software and SAGE accounting system, payment of invoices in online bill payment service, account analysis and reconciliation, posting school payments and research and responding to parent questions regarding their accounts.
Detailed Responsibilities:
The Parish/School Finance Assistant is responsible for the following functions and responsibilities:
School Tuition/Fees Billing
- Create Student Invoices for tuition and fees and post to FACTS management software and SAGE accounting system.
- Assist annually with student re-registration process (for billing purposes).
- Under direction of Director of Finance, adjust tuition and fee balances for financial aid and payment schedules.
- Assist with creating school aftercare billing and post these charges to FACTS each month.
- Assist with parent phone calls for billing assistance and general questions about their tuition and fee balances and FACTS system.
- Work with the Director of Finance and school Principal on annual raffle billing and collections.
Accounts Payable
- Post all school and parish accounts payable items for vendors to SAGE accounting system.
- Process payments for school invoices to Bake Online bill payment module.
- Reconcile school and church credit card activity and post to SAGE accounting system.
- Prepare AP checks as needed for parish and school.
- Forward bills to be paid by bill pay to the appropriate person.
Accounts Receivable
- Process and post cash receipts from parents to Sage accounting system.
- Process and post deposits and Online giving for parish to Sage accounting system.
- Track delinquent school accounts and provide information to Director of Finance and School Principal.
- Ensure that FACTS management system and Sage receivables are in balance.
- Fundraising campaign communication and account management.
- Responsible for remote deposit of checks for parish and school.
General Ledger
- Reconcile all bank statements for parish and school.
- Assist with journal entry preparation for Parish and School for non-confidential items.
- Perform variance analysis for general ledger accounts including budget vs actual comparative analysis.
- Complete monthly balance sheet reconciliations for parish and school.
Audits
- Assist with document preparation for annual Step-Up audit and any other AUPs or audits.
Payroll/HR
- Support Director of Finance with school staff onboarding processes.
- Support Director of Finance with timesheet data validation.
- Track school employee benefit hours balances.
Other
- Maintain all accounts payable files for the parish and school
- Maintain all student billing files for school.
- Update vendor COI’s in Sage 50.
- Merchant Services – responsible for PCI compliance, taking credit cards via Vanco and Paya Exchange.
- Generate tax letters as requested.
- Prepare and log tamper proof bags for weekly and holiday collections.
- Filing for parish and school.
Qualifications Required:
Required
- Associates Degree in Accounting, Bachelor’s Degree in Finance/Accounting preferred.
- Demonstrated ability to successfully and efficiently work independently or with other in a team atmosphere.
- Experience and familiarity with Catholic institutions, including parishes, schools, and the Diocese of Palm Beach is preferred.
