Parish Business Manager - St. Paul of the Cross Catholic Church

St. Paul of the Cross Catholic Church located in North Palm Beach, FL is searching for a full time Parish Business Manager.

SUMMARY:

The Parish Business Manager is a professional administrator who reports directly to the Pastor. He or she assists the Pastor with the stewardship of the physical, financial and personnel resources of the parish, in accordance with diocesan policies and procedures. The Parish Business Manager is a person of faith committed to Gospel values. He or she values the organization and responsible management of resources, and uses his or her experience to help the Church fulfill its mission and purpose.

Current Duties and Responsibilities of the Business and Facilities Manager:

A. Financial Stewardship

  • Collaborates with Pastor and Parish Accountant in producing the Parish Budget
  • Confirms appropriate expenditures in line with the Parish Budget
  • Non-voting Staff Consultant of Parish Finance Council
  • Facilitates fund raising events, pledge drives, and capital campaigns
  • Oversees the management of parish operational and financial records

B. Facilities Management

  • Oversees strategic planning for capital resources, major repairs, renovations and construction projects in accordance with diocesan policies
  • Acts as liaison to diocesan administrative agencies
  • Maintain vendor relations for receiving quotes, purchasing goods and services
  • Establishing and administering contracts and agreements, with the Pastor’s approval
  • Manages custodial & maintenance functions
  • Schedules meeting space
  • Responsible for parish security, risk management, leasing, rental, use of parish facilities, and acts as a liaison to local government agencies
  • Develop policies/procedures for use and rental of properties and facilities
  • Oversees Computer information systems

C. Personnel Management

  • Implements strategic personnel policies: develops hiring and termination procedures, job descriptions, personnel evaluations for administrative and support staff
  • Administers diocesan/parish salary and benefit policies
  • Directs the management of the parish office
  • Evaluates support staff through yearly performance reviews
  • Oversees implementation of the guidelines and policies for volunteers
  • Collaborates with Safe Environment Representative to ensure compliance with diocesan standards

D. Communication/Information

  • Collaborates with the Bulletin Editor and the Social Media Representative for proper communication of parish news and events
  • Oversees the maintenance of the parish database

E. General

  • Assists Pastor in resolving concerns
  • Oversees information technology equipment, systems and other office equipment
  • Attends meetings relative to the role, as necessary
  • Directs purchasing procedures, in collaboration with the Parish Accountant

 QUALIFICATIONS

  • Bachelor’s or Master’s degree or its equivalent
  • At least five years’ experience in parish, office, or building management
  • Proficiency in MS Office Suite, including Word, Excel, Outlook and Internet.
  • Has considerable positive experience in management of people, maintenance of physical assets, and strategic planning
  • Understands and supports mission and purpose of the church and parish
  • Knowledgeable of financial statements and their interpretation
  • Knowledgeable of safety and security issues
  • Knowledgeable of personnel issues, including policies, procedures, selection, benefits, federal and state laws, employee motivation, team building, etc.
  • Possesses professional skills and knowledge of several specialized fields (e.g., accounting, development, facilities management, business, communications, etc.)
  • Performs work without specific directions, using considerable independent judgment
  • Is knowledgeable of parish policy and guidelines in relationship to diocesan policy and procedure
  • Seeks out educational opportunities to remain updated on all facets of building maintenance and personnel management
  • Is an actively engaged member of the parish and the parish staff, participating in staff meetings, trainings, and prayer, as well as parish events
  • Is available, when needed, during evenings and weekends, for events and urgent matters
  • Ability to multi-task, work independently and make responsible judgement calls
  • Ability to work effectively with Diocesan employees, departments heads, representatives of other agencies and the general public.
  • Excellent written, verbal and public speaking skills.

  • Complies with the required Diocesan background check and Safe Environments screening

PHYSICAL REQUIREMENTS:

  • Occasional light lifting and carrying of under 25 pounds
  • Frequent use both hands and fingers (i.e. typing and reaching)
  • Occasional periods of standing, sitting, kneeling and climbing
  • Occasional ability of minimal hearing (i.e. loud noises, sirens) and routine hearing (i.e. listening to others in conversation)
  • Occasional routine talking
  • Occasional time spent working closely with others
  • Employee will be exposed to visual terminal display for long periods of time
